What is Elephant Trax?
Elephant Trax is a smart storage and inventory organization app designed to help you easily track what is inside your boxes, bins, trunks, and storage containers.
Instead of opening every box to find one item, you can create a digital inventory in the app. Add item names, photos, notes, keywords, quantities, values, and other useful details. Then, connect that inventory to a QR code label attached to your physical box or container.
Later, when you need to find something, you can simply scan the QR code to view everything linked to that box. You can also search inside the app by item name, keyword, box label, location, or category.
Elephant Trax is useful for organizing your home, garage, basement, attic, storage unit, office, moving boxes, seasonal items, documents, tools, clothes, and more. It helps you save time, reduce clutter, and quickly find your stored items whenever you need them.
How does Elephant Trax work?
Elephant Trax helps you create a digital record of the items stored inside your boxes, bins, trunks, and storage containers.
You can start by uploading or taking photos of the items you want to organize. After adding the item images, you can enter useful details such as item names, notes, keywords, quantity, estimated value, purchase price, brand, model, serial number, or any other information you want to remember.
Once your item list is ready, you can create or select a box and assign those items to it. Then, you can connect that box to a QR code label. Simply place the QR code label on your physical box or container.
Later, when you want to find something, you can scan the QR code to instantly view the items connected to that box. You can also search in the app by item name, keyword, box label, location, or category.
In simple steps:
- Upload or take photos of your items.
- Add item names, notes, keywords, and other details.
- Create or select a box for those items.
- Assign a QR code label to the box.
- Scan the QR code or search in the app whenever you need to find something.
How do I create an Elephant Trax account?
To create an Elephant Trax account, open the Elephant Trax app and select the Sign Up option.
You can create your account in two ways:
Email sign-up:
Enter your email address and follow the on-screen instructions to complete your account setup. Please make sure your email address is typed correctly and does not include any extra spaces before or after the email.
Social login:
You can also create an account using an available social login option, such as Apple or Google, if supported in the app.
Please remember that each login method may create a separate account. For example, if you sign up using your email address and later log in using Apple or Google, the app may treat it as a different account. To access the same inventory data, always use the same login method you used when creating your account.
How do I create my first box?
To create your first box in Elephant Trax, start by adding the items you want to store inside that box.
First, upload or take photos of the items you want to organize. After uploading the images, you can add item details such as item name, notes, keywords, quantity, estimated value, purchase price, brand, model, or any other useful information.
Once your item list is ready, you can continue to the box setup step. Here, you can create your box by adding details such as:
- Box label, such as “Garage Box 1,” “Winter Clothes,” or “Kitchen Items”
- Location, such as Garage, Basement, Attic, or Storage Unit
- Category, such as Clothes, Tools, Documents, or Kitchen Items
- Notes or other box-related details
After adding the box details, you can assign a QR code to the box. Each QR code represents one unique box. Once the QR code is assigned, you can place the QR label on your physical box or container.
Later, when you scan that QR code, Elephant Trax will show the items and details connected to that specific box.
How do I add items to a box?
To add items to a box in Elephant Trax, start by uploading or taking photos of the items you want to organize.
After adding the item images, you can enter useful details for each item, such as:
- Item name
- Notes
- Searchable keywords
- Quantity
- Estimated value
- Purchase price
- Purchase date
- Brand
- Model
- Serial number
- Warranty expiry date
- Other available item details
Once you have added the item details, you can continue to the box setup step and assign those items to a box. After the items are connected to a box, you can also assign a QR code to that box.
Later, when you scan the QR code or search inside the app, Elephant Trax will show the items and details saved inside that specific box.
How do I attach photos to items?
You can attach photos to items while adding new items in Elephant Trax.
When you start organizing your items, choose the option to take a new photo or upload an existing photo from your device. After adding the photo, you can enter item details such as the item name, notes, keywords, quantity, estimated value, brand, model, or other useful information.
Photos make it easier to visually identify what is stored inside each box. Later, when you scan the QR code or search in the app, you can quickly recognize the item by its image along with the saved details.
How do I assign a QR code to a box?
After you have added your item photos and item details, continue to the QR setup step.
From there, choose the Assign QR Code option and scan the Elephant Trax QR code label using your phone camera. You can then add or confirm the box details, such as the box label, location, category, notes, and other available fields.
Once the QR code is assigned, it becomes connected to that specific box. Each QR code represents one unique box, so when you place the QR label on your physical box or container, you can scan it later to view all items and details saved inside that box.
If the QR code already has existing information linked to it, the app may show a message asking whether you want to overwrite the existing information or continue with the latest box details.
How do I scan a QR code?
To scan a QR code in Elephant Trax, open the app and go to the Home screen.
Tap the Scan QR Code option, then point your phone camera at the QR code label attached to your box, bin, trunk, or storage container.
Once the QR code is scanned, Elephant Trax will open the connected box details. You will be able to see all information linked to that box, including the box label, item photos, item names, notes, keywords, location, category, and other saved details.
This helps you quickly check what is inside a box without opening it physically.
How do I find my items later?
You can find your saved items in Elephant Trax in two main ways: by scanning the QR code or by using the search and filter options in the Browse page.
Scan QR Code:
If your box has a QR code label attached, go to the Home screen and tap Scan QR Code. After scanning the QR code, Elephant Trax will show all information connected to that box, including item photos, item names, notes, location, category, and other saved details.
Search from the Browse page:
You can also go to the Browse page and use the search option to find items or boxes. You can search by item name, keyword, box label, or other saved information.
The Browse page also includes different filters that help you narrow down your results. For example, you can filter by location, category, box details, or item information to quickly find exactly what you are looking for.
Can I use Elephant Trax without QR codes?
Yes. You can use Elephant Trax without assigning a QR code immediately.
After you upload item photos and add item details, your item list will be ready. In the QR Setup step, you can choose how you want to attach those items to a box. You can select all items or choose only specific items, then tap QR Setup to continue.
When you tap QR Setup, you will see three options:
1. Assign QR Code
Choose this option if you want to scan a QR code and attach the selected items to a box.
After scanning the QR code, you can add box details such as:
- Box label
- Category
- Location
- Notes
- Custom fields
These details help you search, filter, and find your box and items more easily later. After adding the details, tap Save.
If the QR code is already linked with another box, Elephant Trax may show the existing box information, such as the box label, category, location, notes, or custom fields.
If existing information is found, you will see a confirmation popup asking whether you want to:
Overwrite Existing Details
This will replace the old box details with the new information you are adding.
Keep Existing Details
This will continue using the details already linked with that QR code.
This helps prevent accidental changes to a QR code that is already connected to another box.
2. Save Without QR Code
Choose this option if you do not want to assign a QR code right now.
You can save the selected items with a box label only. You can also add other box details such as category, location, notes, and custom fields if needed.
Later, you can assign a QR code to this box so you can quickly scan it and view the saved items.
3. Assign QR Later
Choose this option if you want to save the selected items now and assign a QR code or box label later.
This is useful when you want to finish saving items quickly and organize the box details later. Your items will remain saved, and you can complete the QR code setup whenever you are ready.
Can I create a box first and assign a QR code later?
Yes. You can create and save a box without assigning a QR code right away.
After adding your item photos and details, go to the QR Setup step. From there, you can choose Save Without QR Code or Assign QR Later if you do not want to scan a QR code at that moment.
You can still add important box information such as:
- Box label
- Location
- Category
- Notes
- Custom fields
Your box and selected items will be saved in the app. Later, when you are ready, you can open the box details and assign a QR code to it.
Once the QR code is assigned, you can place the QR label on your physical box or container. After that, scanning the QR code will show all saved information connected to that box.
